The useful answer, upfront
What to carry into the decision
- Begin with the job: general thinking, long documents, Google or Microsoft work, sourced research, messaging or cross-system follow-through.
- Most people should test a free general assistant before buying a specialist product or an integration.
- A chat subscription helps when you bring it work; an integrated assistant is for work that must arrive, persist and advance automatically.
- The best choice has the lowest net effort after checking, correction, data movement and administration are included.
Section 01
How this shortlist works
There is no defensible universal ranking of AI assistants. A research tool and a calendar workflow solve different jobs; a consumer chat app and an organisation-managed copilot carry different data and administrative obligations. This shortlist is organised by the first job each product shape deserves to be tested on.
We receive no affiliate links or vendor compensation. Product information and first-party documentation were reviewed on 10 August 2026, but availability, plans and limits change. Confirm the service on the account and in Singapore before purchase. The shortlist favours tools with a clear reason to exist in a working stack rather than trying to catalogue every new app.
Working diagram
Start with the work, not the app store
Move right only when the simpler layer cannot produce the required outcome.
01
General assistant
You bring a question, file or draft and review the result.
02
Ecosystem copilot
The useful context already lives in a managed work suite.
03
Specialist product
One repeated job benefits from purpose-built sources or controls.
04
Integration
Work must arrive, retain state and advance across your systems.
Section 02
Best general starting points
For most individuals, the first shortlist is ChatGPT, Claude and Gemini. ChatGPT is the broad generalist; Claude is a natural trial for sustained writing, document analysis and coding; Gemini is the obvious Google-centred candidate. All can overlap. Use our full comparison to select two rather than maintaining three parallel subscriptions.
The vendors document different plan structures and limits.[1][2][3] Start on free access with non-sensitive material, observe a real constraint, and pay only when a paid capability addresses that constraint. “I might use it” is not an operating case.
| Job | First trial | What to verify |
|---|---|---|
| Broad personal work | ChatGPT | Modes, projects, memory controls and the plan limit you reach |
| Long text or code | Claude | Document workflow, coding surface, limits and data setting |
| Google-centred work | Gemini | Actual connected apps and account-level availability |
| Microsoft 365 work | Microsoft 365 Copilot | Permissions, licences, grounding and administration |
| Source-led web research | Perplexity | Source quality, completeness and plan limits |
| Customer-message workflow | Platform tools or integration | Channel rules, handover, state, permissions and ownership |
Section 03
Microsoft 365 Copilot for a Microsoft-centred organisation
Microsoft 365 Copilot is worth evaluating when the organisation’s documents, meetings, email and identity already live in Microsoft 365. The potential advantage is governed access to existing work context without constant uploads. Microsoft markets the product for business use and documents its relationship with the Microsoft 365 environment.[4]
That ecosystem fit is not automatic permission hygiene. Copilot can expose the consequences of over-shared sites and files because users may discover material they were already technically allowed to access. Before a broad rollout, inspect sharing, identity groups, sensitive locations, retention, administrative controls and which employees have a defined recurring use case.
Trial with a contained group and measurable work such as meeting preparation, drafting from a controlled source set or summarising a project space. Count unsupported output and time spent finding the right source, not only time saved producing a first draft.
Section 04
Perplexity for source-led web research
Perplexity deserves a place as a research-first assistant because it foregrounds web sources and follow-up exploration. That makes it convenient for an initial map of products, regulations, destinations or unfamiliar topics. Its plan documentation describes different product capabilities and should be checked for current limits.[5]
Citations are an interface advantage, not a guarantee. Open the source, check the date, confirm that it supports the precise claim and distinguish reporting from primary documentation. A polished answer can combine individually real sources into a conclusion none of them supports. For high-stakes legal, medical or financial questions, use authoritative professional guidance rather than treating a research assistant as the decision-maker.
Section 05
Meta AI and messaging tools
Meta AI provides consumer assistance across supported Meta experiences.[6] Its presence in a messaging environment does not mean it operates a company’s customer inbox. For a Singapore business, distinguish three different things: a personal AI assistant available to a user, WhatsApp Business App features such as greeting messages, and an integrated workflow using Meta’s business messaging platform.
WhatsApp documents greeting messages for the Business App, while Meta Business Suite provides inbox and automation features for supported business communications.[7][8] These built-in tools may be enough for a small team. An integration is warranted only when the work must use approved business facts, maintain case state, coordinate staff or connect to another system. Our WhatsApp AI assistant guide compares those layers in detail.
Section 06
When a chat subscription is not enough
General assistants wait for a person to bring them work. A specialist product watches one kind of work in its own environment. An integrated assistant is for a workflow that begins elsewhere and must continue: an enquiry arrives, a case is created, approved facts are retrieved, a draft is prepared, a person approves, another system is updated, and an overdue case returns to a queue.
Do not integrate merely to avoid copying a paragraph. Integration earns its cost when the missing value is shared state, reliable follow-through, permission control or visibility across a repeated workflow. It also creates care obligations: sources change, connectors fail, exceptions accumulate and models behave differently after updates.
| Observed problem | Likely starting layer | Reason |
|---|---|---|
| I need help thinking or drafting | General assistant | A person can initiate and review the work |
| My work is trapped in a suite | Ecosystem copilot | The relevant context and identity already exist there |
| One job needs specialist evidence | Purpose-built product | The interface, sources and evaluation are job-specific |
| Work is dropped between people or systems | Workflow tool or integration | State and ownership matter more than chat quality |
| The process itself is unclear | Process observation | Automating ambiguity will make it harder to diagnose |
Section 07
A buying method that avoids subscription sprawl
Give every tool a named repeated job and owner. Run the job for two weeks, including checking and correction. If the tool is not used, remove it. If the value appears only after moving large amounts of information by hand, decide whether a secure connection or a different product would reduce net effort. If several tools duplicate the same job, keep the one that fits the workflow and data rules rather than the one with the longest feature list.
Step 01
Name one repeated job
Define the input, expected outcome, frequency and person responsible.
Step 02
Choose the simplest candidate
Begin with an existing or free tool before commissioning integration.
Step 03
Measure net effort
Include context preparation, review, corrections and moving work between systems.
Step 04
Review data fit
Confirm account ownership, permitted information, connections, retention and deletion.
Step 05
Keep, replace or connect
Make the decision from observed use, not the launch announcement.
Section 08
The shortlist is a starting point
For general personal use, trial ChatGPT, Claude or Gemini. Add Microsoft 365 Copilot when the organisation’s work and governance centre on Microsoft. Add Perplexity when source-led web research is a repeated job. Treat Meta AI as a consumer assistant, and evaluate customer-message tooling separately from the fact that AI exists inside a messaging app.
If you cannot tell whether the problem needs an app, a product or an integration, the Assistant Finder asks about arrival, follow-through, systems, sensitivity and human checkpoints. It can explicitly recommend that you do not need us.
